General Accountability: Reporting to the Administration Team Lead, the Receptionist is the first point of contact for clients, potential customers, and guests to the PCM Canada building. The receptionist will be accountable for maintaining a professional atmosphere in his/her area, directing calls, answering questions and greeting visitors as they arrive to the office. The receptionist is also responsible to perform other administrative functions for other business units including company mail, typing and filing. Specific Accountabilities: 1. Answers and directs calls accordingly in a professional and timely manner. 2. On a regular basis, reviews and distributes incoming mail. 3. Ensures a professional atmosphere is maintained in the reception area. 4. Maintains security by following guest procedures, monitoring guest/logbook, and issuing visitor passes. 5. Organizes meetings as required. This may involve ordering food and arranging refreshments as needed. 6. Co-ordinates the use of meeting/resource rooms and ensures they are clean and ready for use. 7. Orders and distributes office supplies and equipment. 8. Responsible for making packages for orientation and on-boarding. 9. Provides administrative support to all business units as needed. 10. Understands and demonstrates the willingness to promote Acrodex’s vision and values. 11. Cross-train with other administrative positions for backfill/coverage purposes. Qualifications (Education/Experience/Skills & Abilities) 1. University Degree, College Diploma or Certificate or a combination of education and administration experience preferred. 2. Proficient in the use of the Microsoft Office Suite including but not limited to: Outlook, Word, Excel, and Visio. 3. Strong organizational ability in order to effectively schedule and co-ordinate workload in an effort to meet deadline and requirements. 4. Excellent interpersonal and communication skills. 5. Ability to adapt to changing priorities in a calm and professional manner. 6. Ability to tactfully handle confidential documents and information.
