Corporate Receptionist – Calgary, AB


This is a Contract position in undefined, undefined posted September 1, 2017.

The successful candidate will have the opportunity to work and be responsible of the overall reception duties at one of our clients’ site in Calgary. You will work in a corporate setting with great exposure to clients and customers.

This is a temporary role to cover for September 25th to 29th.

Duties include:

To exhibit a professional, customer service attitude to give a positive impression of the company to outside callers and visitors;

To be able to interact with many different people with different types of personalities;

To ensure that all visitors to the company sign in;

To answer and direct incoming calls following proper phone procedures;

To control the boardroom bookings for the facility;

To supply information regarding the organization to the general public, clients and customers;

To provide information such as location of departments or offices, employees within the organization, or services provided.

To keep a clean and organized workspace to properly be able to fulfill all functions;

To keep paperwork, phone numbers and important documents organized and readily available;

To ensure that sufficient notes are available and kept up to date for a temporary receptionist to be able to fill in with ease;

To ensure that any telephone lists are updated on a continuous basis, that changes are immediately given through to the answering service and/or helpdesk;

To be able to perform multiple tasks quickly and efficiently, in addition to answering the phone;

To effectively secure back-up for times of absences from the reception desk.

Access Control

To ensure the proper control and tracking of visitor access passes;

To follow up on outstanding visitor access passes on a daily basis until they have been returned;

To arrange for the deactivation of visitor access passes when reported as lost;

To program access passes in the event of the Mailroom Clerk being absent.


To correctly code and submit invoices for Facilities in a timely fashion to AP for payment;

To assist other departments with coding, creating PO¿s and processing invoices for payment.

General tasks

To act as a Fire Warden for the 12th floor;

To control the handing out of taxi chits, making note of the person taking them, the date, his/her cost center and the numbers on each taxi chit;

To alert the Office Manager in time to order more taxi chits;

To diarize any visits from vendors etc as informed by the Office Manager;

To place catering orders as required;

To receive catering orders, to set out food and drinks as and when required;

To assist with cleanup up after meetings;

To forward any notices from the landlord as soon as possible to the Office Manager;

To perform duties such as taking care of plants, straightening magazines and wiping counters and tables to maintain reception area and boardrooms on the 12th floor;

To ensure that the dishwashers are stacked, turned on and unpacked;

To regularly check the fridge in the kitchen and dispose of expired food;

To neatly stack catering equipment on the catering trolleys, in readiness for pickup by the catering companies;

Ensure that the cabinets in the kitchen are kept clean and organized;

To let the Office Manager know in time if plates, plastic utensils or napkins need restocking;

Assist other departments with the ordering of business cards;

To assist other departments with administrative tasks as needed.


To undertake all Mailroom tasks when the Mailroom Clerk is on vacation/absent.


  • Minimum 2 years of Receptionist experience in a corporate setting.
  • Post Secondary in an adminstrative feild
  • Good communication skills.
  • Pleasant personality.
  • Self starter.
  • Intermediate skills in Microsoft Office i.e. Word, Excel, PowerPoint & Outlook.
