About the positionIn the role of Administrative Assistant & Medical Receptionist, you will work as part of our team and handle a range of office support and customer service activities to facilitate the efficient operation of the Clinic.

Your administrative duties will include triaging faxes and referrals; preparing, retrieving, updating and filing patient charts; providing support to Physiciansand the Administrative Team; and ensuring that records in your care are up-to-date.

You will provide support to other departments as directed by your supervisor..

This will include assisting with reception duties and answering phone calls during high-volume times.

When stationed at the front desk, you will take phone calls, relay messages, respond to inquiries, greet people, book appointments and process payments.

This position reports to the Practice Manager.

Major ResponsibilitiesAdministrative
·Provide administrative and clerical support to clinic as needed
·Triage faxes and referrals
·Release of information as per Juno procedures
·Prepare, retrieve, update and file patient charts
·Provide support to Physiciansand the Administrative Team
·Conduct inventory status checks and place orders as needed
·Ensure that documentation is accessible, accurate, current and filed correctlyReception
·Support Clinic by providing quality customer service at front desk
·Interact courteously with patients by phone, email and in person
·Book, confirm and reschedule appointments for Physicians, using EMR system
·Greet patients and visitors and facilitate optimal patient flow through Clinic
·Call patients to confirm appointments and provide information
·Check OHIP cards to make sure these are valid and information is current
·Share important information with coworkers to facilitate patient care
·Prepare for appointments day before by pulling all charts for scheduled patients
·Register new patients in medical record system and set up patient files
·Provide coverage to Ultrasound Desk after 3:00 p.M.Qualifications and Requirements
·College diploma and/or Medical Office Assistant diploma
·Experience handling reception duties and working with multi-line phone system
·At least 1 year of experience with electronic medical records system
·Experience taking payments through POS systems and handling cash
·Ability to switch tasks, respond to shifting priorities and refocus after interruptions
·Track record of performing variety of clerical tasks with accuracy and speed
·Ability to relay messages by phone, in person or in writing
·Strong knowledge of customer service principles and practices
