Valard has full-service capabilities for transmission, distribution, substations, foundations, telecommunications and renewable energy.Valard is seeking an Administrative Assistant to support the daily operations out of our Calgary, Alberta Office.ResponsibilitiesRequirements Reception duties such us screening calls, taking messages, giving out information or forwarding calls as needed, managing the office voicemail and greeting visitors Mail distribution, courier scheduling and distribution Maintain office employees lists (vehicle information, underground parking, phone list, etc.) and helping with the onboarding process of new employees Research, price, order and distribute office furniture and other supplies Manage the boardroom bookings and the conference lines available with all the office staff.

Updating office manuals and list of Calgary office vendors Help the communication department by printing and distributions the company newsletter, organizing and compiling marketing materials for client meetings and/or tradeshows purposes, updating the promotional items inventory and fulfill the incoming orders.

Ordering catering for meetings as needed.

Maintaining archived files spreadsheets up to date and responding to requests regarding those files.

Communicating with office service providers regarding new orders, projects or troubleshooting problems in the office Communicating with building manager regarding complaints or requests from employees.

Providing administrative support to our team such as copying, faxing, mailing and filing documents, as well as typing and producing reports Qualifications At least 5 years of experience in administrative support roles A strong communicator with excellent customer service Skills Attention to detail is very important Person with excellent time management and organizational skills; able to prioritize tasks according to deadlines and level of importance.

Able to work with minimal supervision and as a team player Intermediate to advanced computer skills in Microsoft Office products and Adobe Acrobat Excellent oral and written communication skills A professional and positive attitude Additional A very committed individual, great work ethic; punctuality and efficiency.

Resourcefulness; able to track down information without much guidance in order to perform their duties Team player; going above and beyond your duties; finding ways to improveprocesses.

Someone with initiative that can plan the upcoming workload to better serve the people in the office.

This job is based out of the Calgary office reporting to the Office Manager/Executive Assistant and will be shared resource with another in the same position to support the high volume of incoming calls we received from all the Valard offices across Canada.
