This may be the right opportunity for you Our client is seeking a full-time receptionist to oversee the general administrative duties in their highly professional office in downtown Ottawa.

This permanent full-time opportunity has an anticipated start date of August 21st 2019 and the working hours will be from Monday to Friday, 8:30 a.m.

to 5:00 p.m.

There is free parking and benefits included, and no weekend work.

This is a growing company, and if interested, there can be room to grow within the company The annual salary is set between $32k-33k, based on experience.

The Receptionist will provide front line contact for all incoming phone calls and visitors to the Ottawa office and ensure the smooth daily running of the office with regard to phones, mail, couriers, office supplies and kitchen supplies, while also assisting staff with administrative tasks and other related duties and responsibilities which shall include, but will not be limited to, the following:
• Answer telephone in a prompt, professional and courteous manner, screen and direct calls, take and relay messages.

• Greet visitors in a professional manner.

• Deal with queries received via telephone, email and in person.

• Maintain log of all Ottawa staff whereabouts so that phone calls and inquiries can be handled accordingly.

• General administrative and clerical support as needed.

• Prepare correspondence.

• Assist with filing of electronic and hard copy materials.

• Receive, sort and distribute incoming mail and deliveries.

• Process all outgoing mail and couriers.

• Maintain appointment calendar for boardrooms and meeting rooms and arrange catering as needed.

• Tidy and maintain reception, boardroom, meeting areas and kitchen facilities.

• Maintain office and kitchen supply inventories in a timely and organized manner.

• Initiate calls to service technicians for faulty office equipment and to building superintendent for office maintenance issues in consultation with Office Manager.

• Manage Physical Filing System with Filemaker Pro Software
• Other administrative duties as assigned on a prioritized system.

Qualifications
• Minimum of high school diploma, college or university preferred.

• Knowledge of administrative and clerical procedures.

• Knowledge of computers and relevant software applications.

• Strong MS Office competency
• Minimum of 3 years of experience in a business environment
• Superior English language
– written, spoke, and read.
