Be the conductor of our administrative offices and contribute to the success of a Quebec SME that radiates internationally. You will have the pleasure to welcome our visitors and you will have many contacts with our customers and suppliers (essential: fluency in English). You will also take care of several accounting tasks and your administrative contribution will be greatly appreciated by all your colleagues.

Primary duties and responsabilities are as following:

  • Answer telephone, screen and direct calls to the appropriate person or department
  • Provide information to callers
  • Answer e-mails, forward them when needed to the appropriate recipient and, when necessary, provide accurate information
  • Receive and sort mail and faxes
  • Greet visitors entering the premises by following the visitor’s rules
  • Order and manage inventory of office supplies
  • File various documents
  • Prepare different letters, sales reports, shipping forms and other documents upon request
  • Ensure the logistic and maintenance of the conference room
  • Offer support to the sales team
  • Track customers’ shipments
  • Coordinate incoming and outgoing courier packages
  • Make various service calls
  • Enter product registrations in the database
  • Print owner’s manuals
  • Manage account receivables (issue invoices, send payment reminders etc.)
  • Translation of various documents
  • Proofreading of translations and/or other documents (manuals, price lists, memos etc.)
  • Support the accountant with accounts payable

Discretion and diplomacy

Knowledge and skills

Good knowledge of Microsoft suite
knowledge of a ERP is an asset
