The Receptionist is to provide exceptional support to all customers, sales and service staff so that they all departments are able to provide customers with the best presentation than any other Dealership on Vancouver Island.

Job Description : Success in this position depends on strong organization and time management, as well as exceptional verbal and written communication skills. Please direct your attention to the essential duties listed below.

Tactical Objectives (including but are not limited to):

  • The receptionist is required to maintain a high level of understanding of essential business programs like Outlook, Word and Excel.
  • The receptionist is part of all dealership teams and will be responsible for the cleanliness and stocking of supplies in the dealerships kitchens, client areas, washrooms and all other client contact points, in the process of keeping the merchandise attractive and in order.
  • Answer multi-line switchboard and direct high volume of calls through paging system or voicemail
  • Reconcile service cash drawer daily and prepare bank deposit and cash reports
  • Send and receive faxes
  • Sort and distribute incoming mail and stamp and send outgoing mail
  • Enter customer information into database
  • Receive incoming email through the general email account and distribute or reply
  • Manage daily tracking sheet of service customer contacts
  • Arrange couriers locally and nationally as well as receive courier packages
  • Various filing
  • Collects and submits office supply order to the appropriate person
  • To ensure that all customer contact is dealt with in a professional manner
  • Ensure all queries are handled promptly and accurately
