Kelly Services has a customer in Oakville who is looking for a fantastic Receptionist/Office Assistant for a Chiropodist Office who has previous working experience in a similar environment.

RESPONSIBILITIES:

Reception duties:

  • Professionally represent the clinic in a confidential welcoming manner
  • Greet all patients, answer patient questions, provide general foot health information
  • Maintain a tidy and organized front desk and reception area
  • Provide new patients with intake form, set up new patient file
  • Assist in providing information regarding (third party) health benefit
  • Process patient payments, provide itemized invoice POS receipt
  • Schedule appointments for new and returning patients
  • Answer all incoming calls, book/change appointments, provide information and refer to Chiropodist where appropriate
  • Make patient reminder/confirmation calls for upcoming appointments
  • Prepare patient charts for following day
  • Filing and organizing of charts

Administrative duties:

  • Follow College standards in sterilizing instruments
  • Review daily activities and complete all tasks
  • Type Doctor letters, and correspondence, send and follow up
  • Assist Chiropodist in any way
  • Order, maintain and restock Office, medical and retail supplies
  • Price and stock products on display boards and update in computer
  • Enter information into database
  • Send plaster casts to orthotic labs.

    Log and monitor orthotic tracking sheet

  • Coordinate courier pickup and delivery
  • Track and follow up on shoe orders/special orders
  • Assist with Accounts Payable/Receivable
  • Balance end of day totals, merchant deposits, and weekly deposits Marketing mass mailings
  • Clearing of accounts, float balances, deposits and corrections

REQUIREMENTS:

  • Previous experience in a Medical/Dental Office environment
  • Excellent interpersonal and communication skills, both written and verbal
  • Strong MS Office Skills (Word, Excel, Outlook), CFPM Schedule program
  • Possess strong attention to detail and accuracy
  • Positive can-do attitude
  • Enjoys interacting with the public
  • Work 4 days/week in Oakville, 1 day/week in Milton
  • Flexible to cover 1/2 day Saturday when occasionally needed
