More about the BCUC: Our organization is an independent agency of the provincial government that is responsible for regulating energy utilities within the province, its compulsory automobile insurance rates and tolls related to intra-provincial pipelines.

As a Receptionist/Administrative Assistant at the BCUC, your role is multifaceted; as the first point of contact for external stakeholders and members of the public, you exemplify BCUC organizational values and professionalism.

Working as a member of a team, your focus will be to support the organization and your colleagues to ensure the timely resolution of a variety of administrative responsibilities and provide assistance with special projects as required.

Responsibilities: Provide reception services by operating the main telephone switchboard, answer and log all incoming calls and relay messages appropriately.

Direct visitors and respond to general information inquiries on various matters (e.g.

explain complaint process; set answering system for after hours and review all messages; Open, date stamp, sort and log all incoming mail, couriers, faxes and emails; process all outgoing mail and packages; arrange for mail pick up and couriers; Input data and upload information to database; extract and compile various reports (e.g.

all incoming calls and subject/transfer; courier charges; incoming and outgoing mail); Establish and maintain a variety of general information such as staff absences, vacation, leave, appointments and staff availability; Coordinate and prepare documentation for staff and commissioner travel; Maintain Utility Binders and ensure logical, orderly filing; ensure binders are up to date; Provide typing and proof-reading services using a variety of computer applications for the preparation of BCUC documentation (i.e.

Orders, memos, correspondence, reports, etc.); Book meeting rooms for BCUC staff; organize refreshments as required; request and support the set up of technical equipment; Perform data entry functions (i.e.

CLIFF logging, Travel Data); Manage and maintain office supplies including ordering; Assist in ensuring materials are prepared and printed for meetings as requested, if required;
· Work on a variety of ad hoc projects as required.

Skills & Qualifications:
· High school diploma including courses in in Microsoft suite and Office Administration;
· 2 years of prior administrative support experience in a public agency or customer-oriented organization;
· Proficient in Microsoft Office applications (Word, Excel, Access, PowerPoint and Outlook);
· Working knowledge of office procedures and standard office equipment;
· Knowledge of business English including grammar, spelling and syntax;
· Service oriented with a strong desire to provide excellent customer service;
· Excellent attention to detail with previous experience with, formatting and proofreading;
· Demonstrated ability to use own initiative, with a desire to seek out new knowledge and skills;
· Ability to develop and maintain productive working relationships;
· Strong written and oral communication skills and the ability to professionally interact with internal and external stakeholders.
